This means we processs your data to interact with you before entering into a contract (for example making an appointment to view a property)

 

If you apply for a Tenancy (Contract) your data will be used to process that application. (For example to allow credit checking and right to rent status checks.)

 

If your application for Tenancy is accepted and you are offered a Tenancy Agreement (Contract) then your data will be used in its preparation and ongoing management, both during and after any initial fixed term.

Make an appointment to view form

Any details provided on this form are used in order to arrange a mutually conveinient time for you to meet ourselves or our representative agent at the property you are interested in viewing. We hold this information for 1 year only. After that we destroy it.

All information gathered to process your application for Tenancy

If your application for the property is unsuccessful we keep the information you submitted for 1 year and then destroy it. If your application is successful we are required to keep your information for 7 years following the end of the Tenancy. After that we destroy it.

Forms relating to your Tenancy of the Property

We hold this information for a maximum of 7 years after the end of the Tenancy. After that we destroy it. We use this information to manage your Tenancy Contract with us. 

Forms giving third party information such as next of Kin

We assume that your next of Kin are aware that you have supplied us with their up to date contact information and that they have read, understood and agreed to our Privacy policy. Please do not give this information without first obtaining their consent. These forms form part of the information relating to your tenancy agreement with us and therefore we are required to destroy them 7 years after your tenancy with us has ended.

References supplied by Employers or others

If your application is unsuccessful we destroy this data after 1 year. If it is successful we hold it for a maximum of 7 years after the end of the Tenancy. After that we destroy it. We use this information to manage your Tenancy with us. 

Maintenance and Reporting Forms in the Tenants area of our website

We hold this information for 1 year only. After that we destroy it. We use this information to deal with the problem that you have informed us about. This may include passing your contact details onto a tradesman to arrange for any repair or inspection.

Illegal Activities - Our Legal Obligation

If you or any visitor to the property are involved in illegal activities, and we are requested to make personal details available to the authorities, we will do so without seeking further consent from you or any third party. 

Utilities, Council Tax, Water

We use any information you have given us to assist in setting up or ending your contract with the organisation supplying the property. This data is dealt with in the same way as all Tenancy agreement data.
